This week's question is: "Why can't I extend the end date of a Quercus course from 2022?"

Q: I am trying to add a colleague to Quercus Course I taught in Fall 2022. I understood from your guides (How do I set my own start and/or end date(s) on a course? and How do I reactivate the +People button?) that I would need to extend the course end date before I could add him.

However, the Quercus page does not allow me to change the course end date (I could not click on the date and change it). Could you please kindly advise me how I could add my colleague to my various previous courses, so that they could access the materials?

A: According to the Course Life Cycle provided on the Center for Teaching Support and Innovation (CTSI) website, courses are placed in a read-only state for instructors (i.e., anyone with a ‘teacher’ role) one year after their end date.

When a course is in the read-only state for instructors, it is not available for editing items, uploading files, grading, or any other action-based task within a course. This includes changing the course end dates. Because the course you are trying to add your colleague to is from the 2022 term, changing the course end date function is no longer available to you as course instructor.

However, our office can help you with this- just follow the steps below to make your request.

Requesting assistance to extend course dates and add people to a course in read-only state for instructors

Since the course is now in read-only state for you, you will need to contact our team for assistance with adding your colleague to the course. You can contact the ETO Academic Toolbox team by emailing fase.edtech@utoronto.ca or by submitting a request by submitting a request in the Enterprise Service Center. In your message, please remember to include the following information:

  1. the name(s) and UTORid(s) of anyone you'd like to add to your previous course,
  2. the role you'd like them to have in the course (e.g., Teacher, TA - refer to theCTSI guide for information on Course Roles and Permissions), and
  3. the course code, title, and term information (e.g., APS101H F LEC0101: Engineering Fundamentals, Fall 2022).
