This week's question is: "Can the EdTech Office update a student number in Quercus?"

Q:  I have a student whose student number was recently changed in ROSI and the new number was also updated in eMarks. However their old student number still appears in Quercus. This creates possible confusion for grade submission to eMarks since the old student number appears in Quercus but not eMarks while the new number appears in eMarks but not in Quercus. It seems that Quercus is not updating it’s classlist correctly when the student number of an enrolled student changes in ROSI. Can the EdTech Office change the number in Quercus so that it matches the student number in ROSI and other systems?

A:  Our office cannot change the number, but we can guide you to the appropriate office for assistance. When a user's UTORid or Student Number changes, it may create a different record of the user in Quercus. In those cases, the records would need to be merged manually by the central Academic Toolbox support team at q.help@utoronto.ca.  If you run into similar cases in the future, you can reach out to them directly with the following details about the student:

  1. Name (last name, first name)
  2. Email
  3. Course Name and Quercus ID
  4. Student number/UTORid that appears in Quercus (use one of the options below to find this information in Quercus)
  5. Student number/UTORid that appears in ROSI and other systems

Where do I find Student Numbers and UTORids in Quercus?

You can download a CSV file that contains both Student Numbers and UTORids for your students by:

  1. Exporting the Gradebook for your course (see the Canvas instructor guide: How do I export grades in the Gradebook?)
  2. Downloading a course roster using the UTAGT (UT Advanced Group Tool), using the instructions on our guide: Download emails using the UT Advanced Group Tool.
